When you run a network of EV charging points, the engineering is the easy part. The hard part, the part that slowly eats your week, is what happens after the cars unplug. Electricity gets metered. Employees expense their home charging back to their employer. Employers want clean monthly invoices. VAT has to be tracked correctly. Reimbursements have to land in the right bank accounts. And every transaction needs to end up in the accounting system, properly booked.
For EV-Point, a specialist in charging infrastructure for electric vehicles, that admin grew faster than the network itself. They came to Vulpo with a clear question: build us a financial back-office that runs itself.
Who is EV-Point?
EV-Point installs and operates EV charging infrastructure across Belgium. Their charging points sit at companies, at people's homes, at semi-public locations, anywhere an EV needs power. Every kilowatt-hour delivered triggers a small financial chain reaction: who used it, who pays for it, who gets reimbursed, who books it.
The challenge
Manual processing scales linearly. Charging networks scale exponentially. The math doesn't work.
EV-Point's team was spending real hours each month on a workflow that was, fundamentally, the same five steps repeated across hundreds of meters: read the usage, generate the invoice, collect the payment, book it, repeat. Worse, the manual handling introduced VAT errors, a small percentage on each transaction that, across thousands of transactions, adds up to real money.
What we built
We built the Counter Platform: a system that takes the raw usage data from EV-Point's charging points and turns it into a finished financial flow without anyone having to touch it.
The platform automatically generates monthly invoices and statements based on actual electricity usage. Invoicing happens to employers; reimbursement happens to employees, both correctly accounting for VAT so nothing leaks. We integrated Twikey to handle direct debits: mandates are managed in the platform, payments are collected automatically, and as soon as money arrives the platform registers it against the right invoice.
For payouts, the platform generates Twikey-compatible payment files that EV-Point's finance team can upload to the bank in one motion. And to close the loop, we integrated with Exact Online so every invoice, payment and statement is automatically booked in the accounting system, no manual entry, no copy-paste, no missed transactions.
How it works in practice
A new charging session ends. The platform picks it up. It bundles it with the rest of the month's sessions for that meter, generates the invoice, pulls the payment via Twikey, books the result in Exact Online. The first time anyone at EV-Point thinks about it is when they want to look at a dashboard.
The result
EV-Point's financial workflow now runs on autopilot from charge to accounting entry. The team that used to spend days on monthly closing now spends minutes reviewing it. And because every transaction is processed by the same code with the same rules, the VAT errors that used to creep in have disappeared.
The platform has been running and scaling since 2022.
